Acceptable Use Policy
Last updated: 2026-10-23
This Acceptable Use Policy ("AUP") is part of the InvoiceCow Terms of Service (the "Terms"). It binds the merchant under the Terms, in all use of the Service, including the dashboard, the Connections, the imports and the Portal. The merchant must make sure that the people whom it allows to use its account comply with it. Acting for a merchant does not put the merchant's obligations or its indemnity on a person; Section 1.3 of the Terms says which Sections bind that person. Words that this AUP does not define have the meaning in the Terms. Buyers who use the Portal are bound by the rules in the Buyer Terms, not by this AUP.
We do not review your Sales, your Documents or your content before the Service issues or shows them, and we have no general duty to monitor them. This AUP says what you may not do. It does not create a duty for us to find, prevent or remedy a violation. We rely on your statement that your use complies with it.
1. FALSE AND FRAUDULENT DOCUMENTS
You must not use the Service to issue, import or keep:
(a) a Document for a sale, a supply or a payment that did not happen;
(b) a Document whose amounts, tax, dates, goods or services, parties or numbering you know to be false or misleading;
(c) a Document in the name of a person or a company that you may not act for, or with a tax or VAT identifier, a registration number or an address that is not the issuer's;
(d) a second invoice for a supply that a payment processor or a platform already invoiced, or a Document for a sale in which a platform is the seller of record (Section 5.7 of the Terms);
(e) Documents that are meant to support a false expense claim, a false refund or deduction claim, a false tax return, or any other deception of a buyer, an employer, a lender, an insurer or an authority; or
(f) Documents that are backdated or that misstate when a supply or a payment happened.
This Section does not stop you from keeping a Document that turned out to be wrong as a superseded record, for correction, audit, legal compliance or investigation, which the Service does by design (Section 10 of the Terms). It forbids presenting such a record as current, or using it knowingly to mislead.
2. FINANCIAL CRIME AND SANCTIONS
You must not use the Service:
(a) for money laundering or terrorist financing, or to hide the source, the ownership or the destination of funds;
(b) for tax fraud or tax evasion, including missing trader and carousel fraud;
(c) to evade sanctions or export controls, or for the benefit of a person or a territory under sanctions; or
(d) to support bribery or any other financial crime.
3. YOUR BUSINESS AND YOUR PROCESSORS
We keep no list of prohibited industries of our own. You must comply with the acceptable use rules and the prohibited and restricted business lists of every payment processor and platform that you connect, and with the law. If a processor or a platform stops serving you, or forbids your use, we may stop the Connection.
4. THE PORTAL AND BUYER DATA
You must not, and you must not help another person to:
(a) probe, guess or collect buyer email addresses, or find out which email addresses bought from a merchant;
(b) open, or try to open, the purchases or the Documents of another buyer or of another merchant;
(c) scrape, crawl or bulk-extract the Portal of any merchant, or access it by automated means;
(d) get around a rate limit, a link expiry, a single-use link or any other control of the Portal;
(e) enter Buyer Details that you know to be false, or that belong to a person who did not buy; or
(f) use Buyer Details, or emails from the Service, for marketing, spam or phishing, or for any purpose other than the sale and its Documents.
5. THE SERVICE ITSELF
You must not:
(a) gain, or try to gain, access to the Service, to another account's data or to our systems without authorization, or probe, scan or test their security without our written permission;
(b) upload malware, or content that harms, overloads or disrupts the Service;
(c) send events, imports or requests that are forged, replayed or unsigned where a signature is required;
(d) use a Portal address, a logo or a name that infringes another person's rights or that misleads buyers about who the seller is;
(e) reverse engineer the Service, except where the law allows it despite this rule;
(f) resell the Service, or offer it to others as a service, without our written permission;
(g) use the Service to train or fine-tune a machine-learning model, or crawl or scrape it (Section 15.4 of the Terms); or
(h) open several accounts to get around a suspension, a block or any other restriction.
6. ILLEGAL CONTENT
You must not use the Service to store, show or send content that is illegal, that infringes another person's intellectual property or privacy, or that is defamatory, threatening or abusive.
7. ENFORCEMENT
(a) We may, but are not obliged to, refuse to issue a Document, hold a Sale in quarantine, stop a Connection, disable a Portal page, remove content, or suspend or end an account, at any time, as Section 17 of the Terms says.
(b) A suspension or an ending does not change or delete Documents that are already issued. We keep the Archive as Section 10 of the Terms says.
(c) We do not actively monitor for violations of this AUP, and no provision of it creates a duty for us to do so.
(d) Our decision not to act in a case does not approve your use, and does not waive our right to act in any other case.
(e) We may report a violation, and give the related records, to the affected merchant or buyer, to a payment processor or platform, and to the authorities and law enforcement, where the law requires or allows it.
(f) To the fullest extent the law allows, no action that we take or decline to take under this AUP gives rise to any liability, refund, credit or other remedy, and your duty to indemnify under Section 18 of the Terms applies in full to any violation of this AUP.
(g) You are liable for every violation of this AUP through your account or your Connections, by you, by a member of your account or by any other person who uses them (Section 4.2 of the Terms), and for all of its consequences. Subject to Sections 4.2, 9.5, 18 and 20.6 of the Terms, you will repay our reasonable costs of investigating a violation, of enforcing this AUP, and of answering a Buyer, a processor, a platform or an authority about it, including attorneys' fees, to the extent that they result from a violation for which you are responsible.
(h) We may act on information that we reasonably believe, without first proving a violation, subject to Section 17 of the Terms.
8. REPORTING VIOLATIONS
- Copyright infringement: send a notice to our designated agent, as Section 16.2 of the Terms says.
- Fraud, misuse of the Portal, and all other violations: report to [email protected], with the elements that Section 16.5 of the Terms lists, including the exact location concerned.
We handle precise and substantiated reports in a timely, diligent, objective and non-arbitrary manner, and act where we decide that action is warranted. We do not commit to any fixed response time. A person who knowingly sends a materially false report may be liable for it.
9. RELATIONSHIP TO THE TERMS
This AUP supplements the Terms. If they conflict, the Terms control. Every exclusion and limitation in this AUP is subject to Section 20.6 of the Terms. We may change this AUP as Section 23.3 of the Terms says. This AUP gives no rights to any third party, including a person who sends a report, and creates no duty that we owe to any third party. Each provision of this AUP is severable as Section 24.3 of the Terms says.
